Supplier Guide: Submitting Compliance and PCF Information

There are various types of questionnaires used for different purposes; this article focuses on two key types: Compliance and PCF Questionnaires.

Creating a User Account

To create an account:

  1. Click the link in the email.
  2. Follow the instructions to set a secure password.
  3. Log in to the Makersite application using your credentials.

Note:

  • You receive an email notification when your customer requires compliance information.
  • If you're not registered, you receive an email with a sign-up link. If you're already registered, the email contains a direct link to the information request.
 

Receiving an Email Notification About the Information Request

When your customer sends an information request using Makersite, an email is sent to you. Click the link in the email to access the request in Makersite and begin providing the required information.


Accessing the Information Request Page

After logging in, the application opens to the Information Requests page, where all information requests are listed.

To view questionnaire details, click the relevant tab: select Compliance Information Requests Page for compliance-related data, or PCF Information Requests Page for PCF-related data.

Note:

  • Status: Open - Requires action; compliance information must be submitted.
  • Status: Submitted - Has been completed and submitted; awaiting review or further processing.
  • Status: Done - Is complete; no further action required.
  • Status: Rejected - Has been reviewed and declined; requires updates or corrections before resubmission.
 

In the Incoming tab, select the request to open it. To go back to the Information Requests page, click the Makersite icon.

If you are not the appropriate contact for the request, click Invite a Colleague to forward the request to the correct person within your organization.

 
 

PCF Information Requests Page

Note:

  • Status: Open - Requires action; compliance information must be submitted.
  • Status: Submitted - Has been completed and submitted; awaiting review or further processing.
  • Status: Done - Is complete; no further action required.
  • Status: Rejected - Has been reviewed and declined; requires updates or corrections before resubmission.
 

In the Incoming tab, select the request to open it. To go back to the Information Requests page, click the Makersite icon.

Submitting Data

To begin submitting data, click the relevant tab: use Compliance Submission to enter compliance questionnaire responses, or PCF Submission to enter PCF questionnaire responses.

Compliance Submission

Makersite allows customers to collect compliance data for products they source externally. This way they can ensure that all components meet regional regulatory requirements, such as RoHS, REACH, and so on.

You can submit compliance data using one of the following methods. All options begin from the Incoming tab.

Option 1: Submit Data for Multiple Products

  1. Select the checkbox next to the Product to select all products.

  1. Click Bulk edit.
  2. Select a compliance statement from the dropdown.
  3. Upload any supporting documentation, if required.
  4. Provide context to submitted data by adding a comment (optional).
  5. Click Save.

Option 2: Submit Data for a Specific Product

  1. Click the edit icon next to the product you want to update.
  2. Select the appropriate compliance statement from the dropdown.
  3. Upload any supporting documentation, if required.
  4. Provide context to submitted data by adding a comment (optional).
  5. Click Save.

Option 3: Upload an IPC FMD File

Upload an IPC FMD file by clicking on Add IPC to automatically retrieve the correct compliance statement from the file.

Final Steps

  1. Click Submit to complete your submission.

  1. To update previously submitted data, click Edit.

Partial Submission

If you don’t have all the required information, you can submit only what’s currently available.

Makersite submits the data you’ve provided and creates a new request for the missing information. This new request appears under the Incoming tab and allows you to complete only the remaining fields.

PCF Submission

Makersite provides two calculation methods for PCF submission: PCF (default) and Material Breakdown.

You can submit PCF data using one of the following methods. All options begin from the Incoming tab.

Option 1: PCF Method (Default)

In the Product Related Information section, select the calculation method, either PCF (by default) or Material Breakdown. You can edit the Product ID or Weight per base unit, if required.

After selecting PCF, in the Product Footprint Calculation - Reporting section, perform the following steps:

  1. Enter the Carbon footprint value.
  2. Select the Standard from the dropdown menu.
  3. Upload a Certificate (optional).
  4. Review the results displayed at the bottom of the page.

Option 2: Material Breakdown Method

After selecting Material Breakdown, in the Product Footprint Calculation - Material Breakdown section, perform the following steps:

  1. Select the checkbox in the Material & Processes column you want to edit.
  2. Click the edit icon next to each item to update material or process details.
  3. Click Import BOM (optional) to upload a Bill of Materials file for a streamlined data entry.
  4. Click Add New Row (optional) if the required material or process is not available in the predefined list:

  1. In the Materials & Processes field, type or search the required material or process, or create a new entry when needed.
  2. Enter the amount.
  3. Save the entry.

Note: The Unit is fixed as kg.

  1. Click Recalculate Results to update the data.
  2. Review the results at the bottom of the page.

Final Steps

  1. Click Submit to complete your submission.

  1. To update previously submitted data, click Edit.

Bulk or Multiple Submissions

  1. After logging in to Makersite, click Respond in Bulk.
    A pop-up appears.

  1. Click Download Excel to get the template.
  2. Fill in the Excel:
    1. Add emission values.
    2. Select standards from the dropdown.
  3. Click Upload Excel and select your file.
  4. Click Submit Responses.

After the file is uploaded, the status of the information request updates automatically, and the imported data appears in the corresponding form.

 
 

After Submission

Customer Review

After reviewing your submission, your customer may reject some statements for further clarification. You can view any added comments and respond directly to address the feedback.


Best Practices

  • Ensure accuracy and completeness of submitted data.
  • Attach clear and relevant supporting documents.
  • Respond promptly to reminders.
  • Coordinate internally or with sub-suppliers to gather missing data.
