Supplier Guide: Submitting Compliance and PCF Information

This article shows you how to submit Compliance and Product Carbon Footprint (PCF) data to your customers using the Makersite application.

Creating a User Account

To create an account:

  1. Click the link in the email.
  2. Follow the instructions to set a secure password.
  3. Log in to the Makersite application using your credentials.

Note:

  • You receive an email notification when your customer requires compliance information.
  • If you're not registered, you receive an email with a sign-up link. If you're already registered, the email contains a direct link to the information request.
 

Receiving an Email Notification About the Information Request

When your customer sends an information request using Makersite, an email is sent to you. Click the link in the email to access the request in Makersite and begin providing the required information.

Accessing the Information Request Page

After logging in, the application opens to the Information Requests page, where all information requests are listed.

PCF Information Requests Page                                         

Note:

  • Status: Open — Requires action; product carbon footprint data must be submitted.
  • Status: Submitted — Has been submitted; pending review or approval.
  • Status: Accepted — Is complete; no further action required.
 
 
 

Compliance Information Requests Page                                        

Note:

  • Status: Open — Requires action; compliance information must be submitted.
  • Status: Submitted — Has been completed and submitted; awaiting review or further processing.
  • Status: Done — Is complete; no further action required.
 
 
 

In the Incoming tab, select the request to open it. To go back to the Information Requests page, click the Makersite icon.

If you are not the appropriate contact for the request, click Invite a Colleague to forward the request to the correct person within your organization.


Submitting Data

Select a tab to view instructions for Compliance Submission or PCF Submission.

PCF Submission                                                         

Makersite provides two calculation methods for PCF submission: PCF (default) and Material Breakdown.

You can submit PCF data using one of the following methods. All options begin from the Incoming tab.

Option 1: PCF Method (Default)

In the Product Related Information section, select the calculation method, either PCF (by default) or Material Breakdown. You can edit the Product ID or Weight per base unit, if required.

After selecting PCF, in the Product Footprint Calculation - Reporting section, perform the following steps:

  1. Enter the Carbon footprint value.
  2. Select the Standard from the dropdown menu.
  3. Upload a Certificate (optional).
  4. Review the results displayed at the bottom of the page.

Option 2: Material Breakdown Method

After selecting Material Breakdown, in the Product Footprint Calculation - Material Breakdown section, perform the following steps:

  1. Select the checkbox in the Material & Processes column you want to edit.
  2. Click the edit icon next to each item to update material or process details.
  3. Click Import BOM (optional) to upload a Bill of Materials file for a streamlined data entry.
  4. Click Add New Row (optional) if the required material or process is not available in the predefined list:
    1. In the Materials & Processes field, type or search the required material or process.
    2. Enter the amount.
    3. Save the entry.

Note: The Unit is fixed as kg.

  1. Click Recalculate Results to update the data.
  2. Review the results at the bottom of the page.

Final Steps

  1. Click Submit to complete your submission.
  2. To update previously submitted data, click Edit.

Bulk or Multiple Submissions

  1. After logging in to Makersite, click Respond in Bulk.
    A pop-up appears.
  2. Click Download Excel to get the template.
  3. Fill in the Excel:
    1. Add emission values.
    2. Select standards from the dropdown.
  4. Click Upload Excel and select your file.
  5. Click Submit Responses.

After the file is uploaded, the status of the information request updates automatically, and the imported data appears in the corresponding form.

 
 

Compliance Submission                                                        

Makersite allows customers to collect compliance data for products they source externally. This way they can ensure that all components meet regional regulatory requirements, such as RoHS, REACH, and so on.

You can submit compliance data using one of the following methods. All options begin from the Incoming tab.

Option 1: Submit Data for Multiple Products

  1. Select the checkbox next to Product.
  2. Click Bulk edit.
  3. Select a compliance statement from the dropdown.
  4. Upload any supporting documentation, if required.
  5. Click Save.

Option 2: Submit Data for a Specific Product

  1. Click the edit icon next to the product you want to update.
  2. Select the appropriate compliance statement from the dropdown.
  3. Upload any supporting documentation, if required.
  4. Click Save.

Option 3: Upload an IPC FMD File

Upload an IPC FMD file to automatically retrieve the correct compliance statement from the file

Final Steps

  1. Click Submit to complete your submission.
  2. To update previously submitted data, click Edit.

Partial Submission

If you don’t have all the required information, you can submit only what’s currently available.

Makersite submits the data you’ve provided and creates a new request for the missing information. This new request appears under the Incoming tab and allows you to complete only the remaining fields.

Regulatory Compliance Overview for Suppliers

Purpose

This guidance is shared on behalf of our mutual customer to help you understand key European regulatory requirements that may apply to the materials, components, or products you supply.
Your proactive support in meeting these requirements is critical to help our shared customer ensure their products are legally compliant and sustainable.

Why Compliance Matters

Many countries, especially the EU, have strict regulations limiting hazardous substances in products to:

  • Protect human health
  • Safeguard the environment
  • Enable market access

By understanding these rules and sharing accurate compliance information, you help your customer meet their legal obligations and build a responsible supply chain.

Summary of Key EU Regulations

The following is a brief overview of relevant EU legislation, with supplier expectations for each.

REACH Regulation (EC No 1907/2006)

What it does:

  • Governs chemicals placed on the EU market.
  • Requires sharing information about Substances of Very High Concern (SVHCs) in articles (>0.1% w/w).
  • Imposes restrictions on certain substances (Annex XVII).

What is expected from you:

  • Disclose if any SVHCs on the current Candidate List are present above 0.1% in your products.
  • Provide supporting documentation (declarations, test reports, upstream supplier data).
  • Stay updated and inform your customer of changes (new SVHCs added to the list).

REACH Annex XVII Restrictions

What it does:

Lists specific substances banned or restricted in certain uses.

Examples: phthalates, lead in certain applications, certain solvents, and so on.

What is expected from you:

  • Ensure your products comply with relevant restrictions.
  • Provide declarations or evidence of compliance if requested.

RoHS Directive (2011/65/EU, with amendments)

What it does:

  • Restricts hazardous substances in electrical and electronic equipment sold in the EU.
  • Limits for substances like Lead (Pb), Mercury (Hg), Cadmium (Cd), Hexavalent Chromium, PBBs, PBDEs, and certain phthalates.

What is expected from you:

  • Confirm your products comply with RoHS thresholds.
  • Provide RoHS declarations or supporting test data on request.

PFAS Restrictions under REACH and other EU Laws

What it does:

  • PFAS (per- and polyfluoroalkyl substances) are regulated due to persistence and health risks.
  • Specific PFAS are already restricted (e.g. PFOA, C9–C14 PFCAs) under REACH Annex XVII.
  • Broader restrictions are being planned.

What is expected from you:

  • Declare any intentionally added PFAS in your products.
  • Ensure compliance with current REACH Annex XVII PFAS restrictions.
  • Monitor upcoming regulatory changes and proactively manage risks.

EU POP Regulation (Regulation (EU) 2019/1021)

What it does:

  • Controls Persistent Organic Pollutants (POPs) that are highly toxic, persistent, and bio accumulative.
  • Bans or severely limits certain substances (e.g. certain flame retardants, PFOA, SCCPs).

What is expected from you:

  • Confirm your products do not contain banned POPs.
  • If regulated POPs are present, ensure concentrations are below legal limits.
  • Provide declarations or evidence of compliance.

What You Can Do to Support Your Customer

  • Understand the regulations that may apply to your products.
  • Maintain up-to-date compliance documentation (e.g. REACH SVHC declarations, RoHS declarations, test reports).
  • Share accurate, complete material information through the supply chain.
  • Notify your customer promptly if product composition changes or new regulatory risks are identified.
  • Respond to compliance data requests quickly to enable market access.

After Submission

Customer Review

After reviewing your submission, your customer may reject some statements for further clarification. You can view any added comments and respond directly to address the feedback.

Best Practices

  • Ensure accuracy and completeness of submitted data.
  • Attach clear and relevant supporting documents.
  • Respond promptly to reminders.
  • Coordinate internally or with sub-suppliers to gather missing data.
