FAQ: Getting Started with Mattermaps – Customer Onboarding

This article answers the questions new customers ask most often when setting up Mattermaps for the first time. It covers account creation, company configuration, user management, and your first PCF (Product Carbon Footprint) request.

Account & Registration

How do I create a Mattermaps account?

Go to the Mattermaps home page and click Create account here. Fill in your details and submit. Your request is reviewed and approved within 1–2 business days. Once approved, you will receive an email with a link to complete your registration and set up your Mattermaps ID (the multi-factor authentication app that secures your access).

Note: The first person from your company to register is automatically assigned the Company Admin role. If a Company Admin already exists in your organisation, your request is forwarded to them for approval.

Best practice: Register with a non-personal, shared email address (for example, mattermaps.admin@yourcompany.com) so that access is not lost if personnel change.

I received an invitation from a customer. Do I need to register separately?

No. Click the link in the invitation email you received. You will be guided through registration directly. Complete the form, set up your Mattermaps ID with multi-factor authentication, and save your recovery code in a secure location.

How do I log in after registration?

Go to the Mattermaps website and enter your credentials. If you use an authenticator app, scan the QR code shown on the login screen to complete verification.

Forgot your password? Click Forgot password? on the login page, enter the email address linked to your Mattermaps ID, and follow the reset link sent to your inbox.

Lost access to your authenticator app? Contact Mattermaps Support and submit a ticket with your registered email address.

Does my company need to accept Terms & Conditions?

Yes. Every user must accept the User Confidentiality Commitment during sign-up. The Terms & Conditions are divided into two parts:

  • Universal Customer Agreement (UCA) — available to download online.
  • Supplemental Terms — available under DP | Data Exchange & Traceability Platforms.

Only the English version of the Terms & Conditions is legally binding.


Company Setup

What do I need to set up on my first login as Company Admin?

When you log in for the first time, Mattermaps opens the Onboarding Page automatically. From there you can:

  1. Fill in your company profile information.
  2. Choose which fields are visible in the Partner Network by toggling them on.
  3. Request any additional features your company needs.
  4. Decide whether you want to see the Onboarding Page again on future logins.

After completing the onboarding page, go to Company Configuration (the gear icon in the top bar) to finish your setup.

Where do I configure my company settings?

Click the gear icon in the top navigation bar. This opens Company Configuration, where you can manage:

  • Company Information — name, address, and profile details.
  • User Management — invite colleagues and assign roles.
  • Procurement — add Component and Supplier Identifier types (required before you can send a PCF request).
  • Network Connections — connect to PACT, Catena-X, or other external networks.
  • API Management — manage API access credentials.

Important: You must add your Identifier types under Procurement before you can send a PCF request to a supplier.

Can I change my company information later?

Yes. Return to Company Configuration > Company Information at any time to update your details.


Inviting Colleagues & User Roles

How do I invite colleagues to Mattermaps?

  1. Go to Company Configuration > User Management.
  2. Click + Invite User.
  3. Enter the colleague's details and assign one or more user roles.
  4. Click Send.

Your colleague will receive an activation email. You can also invite users in bulk by uploading a file.

Best practice: Assign at least two Company Admins per company to avoid a single point of failure.

What user roles are available?

Mattermaps offers predefined roles matched to specific tasks. You can assign multiple roles to the same user. For a full description of each role and its permissions, see User Roles.

Can I restrict what products or components a user sees?

Yes. Users can be assigned to specific business units or material categories so that they only see the products and components relevant to their work.


Adding Suppliers & Components

How do I add a supplier?

  1. Go to the Procurement tab.
  2. Select Suppliers from the left panel.
  3. Click + Add Supplier.
  4. Fill in the supplier details manually, or upload multiple suppliers at once using an Excel file.

You can invite the supplier to Mattermaps during this step, or do it later. If the supplier is already in the Mattermaps Partner Network, you can search for and link them directly.

How do I add a component and link it to a supplier?

  1. Go to Procurement > Material Categories.
  2. Add a Material Category first, then add components under it manually or via Excel upload.
  3. Open the component and click Manage Suppliers to link it to the correct supplier.
  4. Assign a Supplier Product ID — this is how your supplier identifies the component in their system.

Linking components and suppliers ensures that emission values shared by your suppliers are automatically assigned to the correct components and products.


Requesting Your First PCF

How do I send a PCF request to a supplier?

You can request a Product Carbon Footprint (PCF) for individual components or in bulk:

  • Individual request: Open the component, go to the Manage PCF tab, click the three-dot menu next to the supplier, and select Request PCF. Choose your preferred standard and click Send.
  • Bulk request: Go to Procurement > Component-Supplier, select the components you want, and click Request PCF in the upper right corner.

Important: You must have added your Identifier types under Company Configuration > Procurement before you can send any PCF request.

Where can I track my PCF requests?

Go to My Tasks > Component Tasks. All sent requests and incoming PCF responses appear here. When a supplier shares a PCF with you, you can review it and choose to Accept or Reject it, and add comments if needed.

What if my supplier is not yet on Mattermaps?

You can invite them directly from the supplier record. They will receive an email guiding them through registration. Alternatively, you can add estimated secondary data for a component while you wait for your supplier to onboard.


Data Security & Privacy

Is my PCF data shared with other companies?

No. Non-disclosure is governed at both company and individual user level. Every company on Mattermaps signs a non-disclosure clause, and every user accepts a personal User Confidentiality Commitment before accessing the platform. PCF data is only shared with the specific parties you choose to share it with.

Can I connect Mattermaps to external networks?

Yes. Mattermaps supports connections to:

  • PACT (Partnership for Carbon Transparency)
  • Catena-X (automotive data ecosystem)
